A practical one-day workshop designed for owner-operators and small crews in plumbing, electrical, and HVAC trades. Participants build real automations: voice-to-quote dictation, job-description-to-invoice drafting, customer SMS follow-ups, and Google Business Profile optimisation using AI tools. Sessions are hands-on with live tool demos and ready-to-use templates participants take away the same day. No coding or technical background required.
What you'll be able to do
- Generate a customer-ready quote from a voice memo in under three minutes using a free AI tool
- Convert a handwritten or spoken job description into a formatted invoice draft automatically
- Set up a simple SMS follow-up sequence for job completion and review requests
- Write and schedule AI-assisted Google Business Profile posts to improve local search visibility
- Use a parts-lookup AI prompt to identify components and check supplier availability faster
Topics covered
- Voice-to-quote dictation using AI speech tools
- Turning job notes into professional invoices automatically
- Drafting and scheduling customer SMS with AI assistants
- Optimising Google Business Profile with AI-generated content
- AI-powered parts and supplier lookup shortcuts
- Prompt basics: getting useful output on the first try
- Avoiding common AI errors in customer-facing documents
Delivery
Delivered in-person or as a live virtual session via video call. Participants work on their own smartphones or laptops throughout; no specialist software licence required on the day. Trainer provides a printed and digital prompt library, invoice and SMS templates, and a Google Business Profile checklist. Hands-on exercises make up approximately 70% of the session time. Can be run as a private group booking for a trade association or multi-employer cohort.
What makes it work
- Starting with one workflow (e.g. voice-to-quote) and mastering it before adding others
- Saving a personal prompt library so the same good results are reproducible each time
- Reviewing AI output before sending to customers until confidence builds
- Involving the whole crew, even if just one person, so the workflow survives staff changes
Common mistakes
- Sending AI-generated invoices or quotes to customers without proofreading, causing pricing or name errors
- Using generic ChatGPT prompts not tailored to trades, producing unprofessional or irrelevant output
- Adopting too many tools at once and abandoning all of them within a week
- Ignoring GDPR basics when storing customer phone numbers for SMS automations
When NOT to take this
A plumbing or electrical business that already uses field service management software (e.g. Jobber or Tradify) with built-in quoting and invoicing, the AI admin gains here are minimal and the workshop is not the right priority for them.
